Data Retention Policy

Last Updated: January 2026

This Data Retention Policy explains how My Wedding Sitter Ltd, trading as My Wedding and Event Sitter (“we”, “us”, or “our”), collects, stores, retains, and deletes personal data.

We are committed to handling personal data responsibly, lawfully, and transparently, in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

  1. Our Role

My Wedding Sitter Ltd acts as a data controller for personal data collected through the My Wedding and Event Sitter platform.

We operate solely as a booking and matching platform connecting parents, event organisers, and independent babysitters. We do not employ babysitters and do not provide childcare services.

  1. Data We Collect

We may collect and process the following categories of personal data:

Parents / Event Organisers

  • Name, email address, and contact details
  • Booking details (event date, location, timings)
  • Information relating to children (ages, routines, care requirements)
  • Emergency contact details
  • Messages sent through the platform
  • Payment and transaction records

Babysitters

  • Name, contact details, and profile information
  • Experience, availability, and booking history
  • DBS status confirmation (not DBS certificates)
  • Payment details
  • Messages sent through the platform
  1. How Long We Retain Data

We retain personal data only for as long as necessary to provide our services, comply with legal obligations, and manage disputes or queries.

4.1 Account Data

  • Retained while a parent or babysitter account remains active
  • Users may amend or update their information at any time
  • Users may request account deletion at any time

When an account is deleted, personal data is securely deleted or anonymised, except where retention is legally required.

4.2 Booking & Communication Data

  • Booking records and platform messages are retained for up to 12 months after the booking date
  • This allows us to manage support queries, refunds, and disputes

After this period, data is securely deleted or anonymised.

4.3 Payment & Financial Data

  • Payment and transaction records are retained for up to 6 years
  • This is required to comply with UK tax, accounting, and financial regulations

This data is stored securely and access is restricted.

4.4 Child-Related Data

  • Information relating to children (such as ages, routines, medical needs, or allergies) is retained only for the duration of the booking and up to 30 days afterwards
  • This data is then securely deleted unless required for legal or dispute-related reasons

We take particular care to minimise retention of child-related data.

4.5 DBS Information

  • We record confirmation of DBS status only
  • We do not store DBS certificates
  • DBS-related information is retained only while a babysitter’s account remains active
  1. User Rights & Access to Data

Under UK GDPR, users have the right to:

  • Access their personal data
  • Correct or update inaccurate data

  • Restrict or object to certain processing

  1. Data Security

We implement appropriate technical and organisational measures to protect personal data against:

  • Unauthorised access
  • Loss or destruction
  • Misuse or alteration

Access to personal data is limited to authorised personnel only.

  1. Third-Party Services

We may use trusted third-party service providers (such as payment processors or hosting providers) to support the platform. These providers are required to comply with data protection laws and process data securely.
